Sharing your mailbox with a teammate

You can let someone on your team open your mailbox from their own webmail or mail app: an assistant who answers your mail, or a colleague covering while you are away. They never need your password.

Share your mailbox

  1. In webmail, open Settings (the gear at the top) and find Sharing.
  2. Pick the teammate and how much they may do:
    • Read only: they can read your mail and contacts.
    • Read and change: they can also file, flag, delete and write drafts, and change your contacts.
    • Read, change and send as you: they can also send mail from your address.
  3. Choose Share.

Change how much a teammate may do with the list next to their name, or choose Stop sharing; it takes effect at once, including in their mail apps. Mailboxes are shared only within a team, never with other teams.

What stays yours alone: your filters, your vacation reply, your signatures, your password and sign-in settings, and your push notifications.

Open a mailbox shared with you

When someone shares their mailbox with you, a picker appears at the top of webmail next to your address. Choose their mailbox to open it; a bar says whose mailbox you are in, and Back to your mailbox returns to yours. Settings → Sharing also lists them under Shared with you.

Mail apps (IMAP) show a shared mailbox's folders under Other Users, then the owner's address: Other Users/boss@example.com/INBOX. A read-only share opens read-only; with Read and change you can flag, file and delete there, and copy or move mail between your folders and theirs. Their folders cannot be created, renamed or deleted from your app, and they are always shown as subscribed. Apps that speak IMAP ACL (RFC 4314) see the rights: the owner lrswipkxtea, read-only lr, read and change lrswite. Sharing is set for the whole mailbox in webmail, so an app's "share this folder" (SETACL) is refused.

JMAP apps see a shared mailbox as another account in the session (isPersonal: false, isReadOnly for read-only shares), with the principals of your team (Principal/get, RFC 9670) and a ShareNotification each time a share starts, changes or ends. Email/copy, ContactCard/copy and Blob/copy copy between your account and shared ones.

For administrators

Team admins and staff see and change who a mailbox is shared with:

corpsuite mailbox shares boss@acme.test
corpsuite mailbox share boss@acme.test assistant@acme.test access=send
corpsuite mailbox unshare boss@acme.test assistant@acme.test

or GET, PUT and DELETE /v1/tenants/{tenantId}/accounts/{accountId}/shares/{grantee} (see api/openapi.yaml).

Sharing single folders, rather than the whole mailbox, is planned.
